The Onsite Registration Manager promotes SmartSource’s overall client service satisfaction through focused and direct contact with clients. The manager diligently and proactively maintains and expands SmartSource’s client relationships serves as the primary point of contact during the planning cycle to ensure that the clients’ needs and expectations are met. The Onsite Registration Manager reports to the Manager of Dynamic Solutions.



  • Serve as onsite team lead for assigned events.
  • Collaborate and coordinate onsite logistics, process with event team, and implement the solution onsite.
  • Responsible for the preparation/training and supervision of the onsite staff.
  • Review inventory, setup, test, operate, and maintain all equipment at event setup, during the event, and at event tear-down.
  • Support all SmartSource products and services.
  • Train and manage all staff working with SmartSource products and services, including but not limited to temporary staff, volunteers, show management, and security staff.
  • Provide reports as required by client and event needs.
  • Coordinate tear down and the packing and shipping of equipment.
  • Other duties as assigned by the Manager of Dynamic Solutions.

Essential Show Team Functions:

  • Responsible for scheduling client kick-off calls and all subsequent calls leading up to the event.
  • Maintain maximum awareness of all aspects of the event planning and logistics process for assigned events.
  • Cohesively work in conjunction with the Account Executive, Registration Manager, Quality Assurance, Shipping and Logistics department and all other members of the Event Team.
  • Plan and develop the onsite registration process working with the Registration Manager on floor plans, equipment requirements, internet requirements, and staffing.
  • Review and verify the final onsite operations plan. Confirm the equipment, shipping, floor plan, staffing and material requirements.
  • Produce onsite analysis and provide post-show feedback, including suggestions for improvement. Work with the Account Executive on the post-show wrap-up.


  • Must be able to work as a team leader or member and also independently with minimal direct supervision.
  • Excellent interpersonal, oral, organizational and written communication skills.
  • The ability to handle stressful situations are
  • Excellent customer services skill, the ability to relate to clients, onsite staffing, and the general public are also required.
  • Must be able to set up onsite registration platform, onsite network, perform onsite equipment repairs and install software fixes as needed.


  • The learning curve of the Onsite Registration Manager is between 6-10 months.
  • Extensive travel is required to attend events.

Physical Requirements:

  • Must be able to sit for extended periods of time; must be able to use a computer.
  • Must be able to think analytically, concentrate on tasks and remember details.
  • Must be able to lift, push, pull and move 50 lbs.; must be able to stand and walk for extended periods.
  • Must be able to stoop, bend, kneel and crawl.

 Education and Experience:

  • Bachelor’s degree desired or equivalent industry experience.
